The problem
Tag lists grow organically until nobody uses them consistently. The result: you can say how many contacts you get, but not why. Without the why, you can’t remove the demand, only staff up for it.
The fix
- Pull the last 500 tickets and read a random 100. Write down the real reason for each in plain words.
- Cluster into 8–12 reasons written from the customer’s view: “Where is my order?”, not “Logistics”.
- Make one reason mandatory on ticket close. One field, one choice.
- Flag each reason as value (a contact you want) or failure (a contact caused by something not working).
- Review monthly with product and ops. Pick the biggest failure reason and kill it.
Tools to try
- Custom ticket fields in your helpdesk. A required drop-down beats free-text tags every time.
- Looker Studio or Power BI for a simple monthly trend chart by reason.
- AI auto-classification (built into most modern helpdesks) once your taxonomy is stable. Not before.
How to measure it
Watch failure demand as a % of total contacts. Every point you remove is capacity you get back without hiring.
